MARKING STUDENTS’ ATTENDANCE FOR ANY OF THE PAST OR PREVIOUS DAYS

NOTE: Only users who have manager, head of department and teacher access rights in Educlen can carry out this operation.

One of the sweet things in Educlen is its capability to mark students’ attendance. A teacher can only mark attendance of students in his or her assigned class. A head of teaching department can mark attendance for all students in all classes in his or her department. For example, the head of department for Lower Primary can mark attendance for primary 1, 2 and 3 classes. Finally, anyone with manager access right can mark attendance for all classes in the school.
During attendance marking, you can also account for the daily fees (daily tuition fees, classes fees, school bus fare, and feeding fees) paid by the students, depending on the ones that your school collects. Your school management use Educlen CONTROL BOARD to set or enable or disable each of these fees as it is applicable to your school.
Let’s see step by step on how to mark students’ attendance.

 

NOTE: Marking attendance for a past day is the same process as marking for the current day. The only difference is to change the date from the current date to the past day that you want to mark attendance for.



1. Click on STUDENTS on the sidebar.


2. Click on ATTENDANCE on the horizontal menu bar at the top.

 

3. One the page that appears, select the class whose attendance to be marked from the drop-down menu and then click on the LOAD CLASS button on the right of the drop-down menu to load attendance register for the class.




4. From the new page that opens, you will see that the attendance to be mark for the current day (i.e. today). You need to change the date.

 

5. Use the date picker to choose the past date you want to mark attendance for.

 

6. Click on the date picker to display the calendar. Then pick your desired date. Here, will want to choose June 26.

 

7. After choosing the date, "LOAD SELECTED DATE" button will automatically display by the side of the date picker. Just click on it to load the attendance register for the selected date. Wait patiently until it is fully loaded.

 

 

8. Once it has fully loaded, you will notice that the new page contains the notification of your chosen date. Remember that we chose June 26 as our previous date to mark its attendance.

 

Then go ahead to mark the attendance for that day. The page loads all the active students of the chosen class. By default, all students in the class are ticked “present”, so also the enabled fees for all the students. All you need to do is to untick the checkboxes for each absent student.

 

9. As you tick and untick, statistics of total present, total absent, and total fees paid automatically displays at the bottom part of the page. Verify the accuracy of attendance and fees records in the statistics board. When you are okay with the records, proceed to finish the attendance marking.

 


10. Click on MARK ATTENDANCE button to finish the process. The system will begin the marking of the attendance for each student in the background. As the system marks the attendance, SMS is automatically sent to parent or guardian of each student to notify him or her of the attendance status.
NOTICE: before attendance marking can be done, there is a need for the school to have enough SMS balance in its account.


11. After the completion of the attendance marking, the system will alert you. Just click OK on the alert box to return.



12. On the final page that appears, check and confirm the attendance is successfully marked.
